This Refund Policy explains how ESAI Tech Services ("ESAI", "we", "us", or "our") handles refunds and cancellations. Because our work involves customized professional services delivered over time, refunds are assessed based on the work performed and the terms of your specific engagement. Where an Engagement Document (proposal or statement of work) sets out different refund terms, those terms take precedence.
Project engagements often require an upfront deposit to reserve our time and begin work. Deposits cover initial planning, discovery, and resource allocation. Once work has commenced, deposits are generally non-refundable, as they compensate for time and effort already committed.
For projects billed in milestones, each payment corresponds to a defined stage of work. Payments for milestones that have been completed and delivered are non-refundable. If you cancel mid-project, you remain responsible for work completed and costs incurred up to the cancellation date, and any unused balance (if applicable) will be assessed against work in progress.
Recurring services — such as retainers, managed support, hosting, or ongoing marketing — are billed in advance for each billing period.
Amounts paid to third parties on your behalf — including advertising spend, software licenses, domain registration, hosting, and similar costs — are non-refundable once incurred, as they are governed by the third party's own terms and are outside our control.
To cancel an engagement or recurring service, send written notice to the contact address below. We will confirm receipt, stop applicable future work or billing, and provide a final summary of any amounts due or, where applicable, any eligible refund.
